INTELI-SCAN has been developed from years of experience in the production of Record Documentation for the Construction industry. Based on feedback from industry leaders the
INTELI-SCAN Project Management features offer a key set of project management tools in one web based collaborative environment. Clients are amazed at the robust functionality of these tools and as a result of this INTELI-SCAN PM has redefined what a powerful easy to use project management solution should deliver.

INTELI-SCAN PM has been created to provide a solution to make record documentation manageable throughout the life span of the building irrespective of size or complexity. All of the advanced features have been tailored for construction phase Project Record Documentation Management through the whole life cycle of fit out, strip out and upgrades to ensure the building's ever changing information is kept up to date.

This is achieved by using an on-line (web based) approach whereby all relevant parties are given access to their own respective areas of the system including where applicable access to the legacy documents of the building for revision, authoring reviewing and completion of the documents.

The INTELI-SCAN home page provides all users with quick and easy access to all project information relevant to them. Rather than spending time sorting through all systems, they can instantly access information for their own action.

INTELI-SCAN can help you manage multiple projects within one single login account. Each project is structured in a familiar way, this allows multiple projects to be easily managed simultaneously in a centralised location.

DOCUMENT PREPARATION AND RETRIEVAL
INTELI-SCAN provides the on-line authoring, updating and amendment of the required documentation for a project.
To ensure the timely production of documentation the system provides the author with the ability to pre-list the documents that they are required to provide. They are then able to upload documents as they become approved and available.

INTELI-SCAN ensures the user correctly identify & title their documents, so that this is correct and meaningful to the search features and end users.

To ensure that the latest documents have been entered into the system a full check out and check in system has been implemented eliminating the possibility of information loss.

The user also has a bulk print and download feature that will allow them if required to print a manual based on their preferred search criteria. This means that the user can print a manual (inclusive of System Documents, Literature, Test Data, Drawings etc) from their choice of building, project, contractor or system (further refinement can be made by selecting and deselecting documents from the data set).

When printed or downloaded INTELI-SCAN automatically generates the contents, pages and front sheets for the manual based upon the documents being printed.

PROJECT MANAGEMENT
Issuing, commenting and approval of documents is carried out online under the control of the project manager and is as follows:

1. The Author uploads their draft details for review.
2. The W&S Project Manager checks, processes & amends the details as required before allowing the document to proceed
   for initial review.
3. The appropriate person is notified of its issue and is prompted to review / approve accordingly.
4. The comments are made online, either by direct comments to the interface, attachment of a separate comments sheet
   or red lining of the document. The reviewers state their comments are complete.
5. The Comments are returned and actioned/answered and the document re-issued for final sign off / approval
6. The reviewers sign off the comments and the documentation suite is complete.

Communication is vital in project management. The more communication tools are available, the more efficient the project will be. INTELI-SCAN PM email notification system is among one of our best features. It keeps the user informed of ongoing activities they are involved in without having to be logged into INTELI-SCAN PM continuously. Users can simply read the email notification making them aware of any changes. Email notifications are only sent automatically by the system once they have been approved by the Project Manager, thereby avoiding the deluge of meaningless emails that can come from purely automated systems.

REPORTING
Statistics and reports are one of the INTELI-SCAN PM's specialities. W&S believe that tracking information efficiently is mandatory for all documentation project managers. Moreover statistics and reports let project managers monitor real time the current positions of the project.

The system provides fully automated real time reporting at both detailed and executive levels and by using dual methods of:

• A visual RED/AMBER/GREEN report
• A text based percentage complete and completion dates.

The reports identify the progress made from the number of documents required, through issue and the number of comments to all comments and responses signed off. A printer friendly version of the chosen report is available for those times when internet access is unattainable.

SECURITY AND ACCESS RIGHTS
INTELI-SCAN PM lets you manage multiple users within one single project area. Users can be defined as Power User(Project Manager), Author User(Contractor), Reviewer(Designer), Author Reviewer and Normal User(FM).

These users can all access INTELI-SCAN PM simultaneously, from different locations at any time and each user can be allowed various access rights dependent on there role requirements within the project. W&S have integrated well-defined access rights in order to provide each user with the appropriate beneficial privileges. For example the project director might want to be "big brother" and have access to all the information where as a sub contractor may only be allowed to view their system that they are involved in.
